INSTRUCTIONS: Consider each question thoughtfully.  Circle the number that best describes how you currently use your time.  Only if you are completely honest with yourself will this exercise be helpful.  After you have completed the evaluation, submit it to us to receive your evaluation.

Are you satisfied with the number of hours you work each week?
If you could shorten your work day one hour each day, do you know what you would spend that time doing?           

2) Work Habits: 1 Yes/Always 2 Usually 3 Not Very Often 4 No/Never
Do you make a written list of what you intend to do each day?
Do you keep any kind of record that shows whether you complete your list or not?           
Do you have calendar upon which you record your appointments and tasks you intend to accomplish in the future?
Do you schedule blocks of time for yourself to accomplish important goals and activities?
Do you assign time limits to the items on your task list?
Do you prioritize your task list each day?

3) Work Space: 1 Yes/Always 2 Usually 3 Not Very Often 4 No/Never
Is your work space arranged so that everything you need is readily available?           
Do you keep your desk or other work space clear of anything except the work you are engaged in at the moment?
Do you often find yourself spending less than two minutes looking for something you need in your work?
Do you have a specific tray designated as an out-basket?
Do you have a specific tray designated as your in-basket?  
Do you dispose of all your paperwork on the first handling?
Does your filing system keep your desk free from clutter?
Does your system for handing paperwork prevent procrastination?

Do you organize related types of tasks to be accomplished in a specific block of time? (Example: grouping telephone calls,reading mail, answering correspondence.)
Do you set aside a certain block of time every day or severaltimes a week for uninterrupted creative activity?
Do you set priorities for different jobs and decide which jobs merit your primary attention?
Do you spend an hour or more at the beginning of each monthformally planning it?
Do you have a routine process for planning monthly?

Do you ask your assistant or allow your voice mail to take calls for a certain length of time and return calls in groups to improveyour work flow?           
Do you spend most of your telephone time on business exchange related to the purpose of the call?                       
Do you group your questions and topics to reduce the number of interruptions by phone, drop-ins and others?
Do you go somewhere to prevent the telephone from breaking your concentration on important matters?
Do you dictate brief memos, use e-mail, voice mail or other technology to reduce the time that it takes to contact a number of people?

Do you make effective use of travel time such as commuting to work, driving to appointments, etc?
Do you frequently work on important things while waiting for someone else?
Do you minimize the amount of your down time by improved scheduling of appointments, travel, etc.?                                   
Do you use some of your down time for relaxation and/or creative thinking?

Does your secretary/assistant know what is on your task list for today?

Does your secretary/assistant automatically find for you the file and information that you need for the tasks on your list?
Does your secretary/assistant open and organize your mail?     
Do you dictate your answers to letters and memos?           
Do you direct your secretary/assistant to answer some correspondence for you?
Does your secretary/assistant know exactly how to handle visitors and people who call on the telephone?
Does your secretary/assistant always know where you are during the working day?
Does your secretary/assistant know what circumstances are important enough for you to be interrupted when you are in a conference?
Does your secretary/assistant know what you do that is importantand what is not important?

Do you delegate appropriately?

When you delegate a task, do you give adequate instructions so that it may be done well?
When you delegate tasks, are you willing to allow others to work in their own way even though some things may be done differently fromthe way you would do them? 
When you delegate a task or responsibility, do you also delegate the authority necessary to accomplish it effectively?
When you delegate a particular job, do you have a system to later inspect the work to be sure that your instructions were understood andare still being carried out?

Are you available for team members to ask questions at unplanned times of the day?
Do you conduct job training when you get repeated questions from team members.
Do you delegate responsibility and authority to avoid repeated questions?
Do you avoid many of the repeated questions by establishing departmental policy or rules that would guide employees activitiesin a particular area?
Do you delegate everything that you do that could be done by someone else?

Do you close your office door to get important tasks completed?
Do you discourage people from dropping into your office if theyhave no important business to discuss?           
Do you encourage visitors to set up appointments before coming to your office?
Do you discourage visitors from staying longer than necessary by cutting out small talk?
Do you prevent yourself from repeatedly dropping into others’ offices?
Do you shorten visits and meetings by setting time limits?
